Help for staff

Module information

ORB listings and the My Essex education listings are one in the same. ORB shows every module, whereas My Essex shows students a personalised view based on their studies. Each module includes a variety of educational resources and support materials, such as teaching materials and past examination papers.

This information is usually managed by departments through ESIS (MIS Apps). For access to ESIS, please contact the Course Records Team, Systems Administration Office, Academic Section; email: crt (non Essex users should add @essex.ac.uk).

Access to ORB

Access to ORB is based on teaching timetables provided by the Central Timetabling Office (CTO). Access is automatically granted on a nightly basis. If you do not teach on a module and need to publish materials to it, please contact the Learning Technology Team, Information Systems Services; email: ltt (non Essex users should add @essex.ac.uk).

ORB structure

ORB is organised by department, then by module code:

  • Each department or centre is represented by a folder named with a two letter code, so for example the Department of Law is LW.
  • Within each of these folders, each module hosted in ORB will be allocated a folder. This gives a URL in the format http://courses.essex.ac.uk/lw/lw101/. Note that this ignores any variants, such as LW101-4-FY.
  • There are a few extra folders at each level which contain support materials, etc.

Reading lists

Reading lists are stored in a structured manner and are managed by the Albert Sloman Library. If you would like to modify a reading list, please contact library staff.

You can link to a reading list by creating a URL in the format http://orb.essex.ac.uk/gv/gv213/readinglist/.

Past exam papers

Past exam papers are stored in a structured manner and are managed by departments. Exam papers should be placed in the 'exampapers' folder, eg. /gv/exampapers/, and named in one of the following formats:

  • yearfirst5charactersofcode - eg 1999ec111.pdf
    This allows you to provide a single paper for the specified year's main exam.
  • yearfirst5charactersofcoder - eg 1999ec111r.pdf
    This allows you also to include a resit paper.
  • yearfirst5charactersofcodea - eg 1999ec111a.pdf
    This allows you also to include an alternative paper (can be useful where courses run separately in previous years have been merged or reorganised).
  • yearfullcode - eg 1999ec111-1-fy.pdf
    This allows you to provide a single paper for each of a module's variations for the specified year (eg separate papers for each instance of a module taught at 3rd year and postgraduate levels, or taught separately in autumn and spring terms each with different exams).
  • yearfullcoder - eg 1999ec111-1-fyr.pdf
    This allows you also to include a resit papers for each variant of a module.
  • yearfullcodea - eg 1999ec111-1-fya.pdf
    This allows you also to include an alternative paper for each variant of a module (can be useful where modules run separately in previous years have been merged or reorganised).
  • nonefirst5charactersofcode.txt - eg noneac114.txt
    This allows you to indicate that there is no examination paper for the module.

Any files not using this naming structure will either display incorrectly or not at all in the past papers listings.

You can link to a past exam paper by creating a URL in the format http://orb.essex.ac.uk/gv/gv213/exampapers/.

Teaching materials

Each module has a corresponding folder on ORB, and each folder has a 'restricted' sub-folder.

  • Resources placed in the module folder will be available to the general public (eg. /ec/ec101/)
  • Resources placed in the restricted sub-folder are only available to those with a valid University of Essex computing account (eg. /ec/ec101/restricted/)

Staff can create their own folders, but access will depend on the 'parent' folder. eg. /ec/ec101/foo/ will be open to the general public, whereas /ec/ec101/restricted/bar/ will be restricted.

Staff can organise their files in one of two ways:

  • You can simply publish files into the module folder (and sub-folders), and ORB will automatically list these on the website. Or,
  • You can create a website and publish it to the module folder. If you publish a index file (index.htm, index.html, etc.) ORB will recognise this as a web site.

Staff can hide files by placing them in a folder beginning with an underscore (_). eg. /ec/ec101/_hidden/ will not be displayed online. This does not prevent people from guessing the URL and downloading files directly.

Publishing to ORB

You can publish to ORB in one of four ways:

Network drive (SMB)

If you already have a network drive mapped to SERNT55 (CMR)

In order to mount a new network drive to ORB, you will first have to remove your old network drive:

  1. Open Windows Explorer by
    • Pressing Windows+E keys, or
    • Double-clicking on the Computer icon on your desktop, or
    • Windows 7: Clicking on the Start button, and typing Windows Explorer into the search box, and clicking on the result, or
    • Windows XP: Clicking on the Start button, then All Programs, then Accessories, then Windows Explorer
  2. When Windows Explorer opens, click on the Computer icon. You should see a list of drives (C: and D: being the most common)
  3. Make a note of any drives that are in the format 'ec$ on SERNT55', this is usually the R: drive, but could be different on your computer.

  4. Right-click on the drive and select Disconnect

Mapping a network drive to ORB - Windows

  1. Open Windows Explorer. See step (1), above.
  2. Right-click on the Computer icon, and select 'Map network drive...'
  3. In the box that appears: Map network drive
  4. Drive should be set to R: If this drive is already in use, select an available drive letter.
  5. Folder should be set to '\\ORB\??$' (without quotes). The ?? should be replaced by the first two letters of the module code you are interested in. eg. \\ORB\EC$\ for modules starting with EC.
  6. Reconnect at logon should be selected
  7. Connect using different credentials (if asked) should be cleared
  8. Press finish
    (A small number of users have received an error when performing this step. If Windows reports "You were not connected because a duplicate name exists on the network", please change the folder to \\ISSWIN055\EC$ (or equivalent department/module code).
  9. New R: drive

Staff in departments with multiple department codes (eg. Language and Linguistics) may need to repeat the above process multiple times in order to find all modules.

Mapping a network drive to ORB - OSX

  1. Open Finder
  2. In the Go menu, select Connect to Server...
  3. In the box that appears (Connect to Server), type the following into Server Address:
    smb://orb.essex.ac.uk/??$
    As above, the ?? should be replaced by the first two letters of the module code you are interested in. eg. \\ORB\EC$\ for modules starting with EC.
  4. Click on Connect
  5. At this point, you might be asked to log in:
    • Connect as, should be set to Registered User
    • Name should be set to your University of Essex login (eg. 'bbunte')
    • Password should be your University of Essex password.
    • Click onConnect

Network drive (WebDAV)

  1. Open Windows Explorer. See step (1), above.
  2. Right-click on the Computer icon, and select 'Map network drive...'
  3. In the box that appears:
    • Drive should be set to R: If this drive is already in use, select an available drive letter.
    • Folder should be set to 'https://orb.essex.ac.uk/??/' (without quotes). The ?? should be replaced by the first two letters of the module code you are interested in. eg. https://orb.essex.ac.uk/ec/ for modules starting with EC.
    • Reconnect at logon should be cleared. (if you enable this option it can use a lot of internet bandwidth)
    • Connect using different credentials (if asked) should be cleared
    • Press finish
  4. Windows will prompt you to log in.
    • Username/Login should be your University of Essex email address
    • Password should be your University of Essex password

Note: It is best to use this for short periods only. It can consume a large amount of bandwidth if you are off campus.

SharePoint Designer (WebDAV)

  1. Open SharePoint Designer
  2. Click on the File... menu, then Open Site...
  3. In the Site Name box, enter the full web address of the module you are interested in editing. eg. to edit BS101, you would enter https://orb.essex.ac.uk/bs/bs101/
  4. Click on Open
  5. At this point, you may be prompted to log in several times, please log in using your University of Essex username and password

FTP(S)

ORB uses FTPS with Implicit SSL and PASV connections. This has been successfully tested in FileZilla FTP client, but please note that it will not function over the University's wireless eduroam service. Details on these settings can be found below:

Forbidden and unsupported file types

Forbidden files

Forbidden files could be mistaken for a system file or a piece of code that runs the ORB website. Because of this, ORB will never serve the following file types.

If you need to serve one of these files, please place it inside a zip archive.

Unsupported files

ORB only serves files that it recognises and supports. If it sees an unsupported file, it will now allow the file to be downloaded and users will see a '404 Not Found' error.
